Volunteer Essentials – What’s new for 2014-2015?
Each year, our volunteer handbook is updated to have the most complete and accurate information for our volunteers. Volunteer Essentials 2014-2015 will be available online September 1st, but will not be mailed out to Troop Leaders, Trainers and Board Members until October 1st. What is different about the updated version? See below for a list of the most important details:
Structure – Volunteer Essentials has been reorganized to provide the volunteer with more streamlined access to information. Duplicate entries have been eliminated as well to make the handbook thinner, and more user friendly.
Visitors Comment Guidelines – In the 2013-2014 version of Volunteer Essentials, you can find information on Council Delegates and the governance system of Girl Scouts of New Mexico Trails on page 10. In addition to this information, VE 2014-2015 now has the Board of Director’s newly established Visitor’s Comment Guidelines available (page 6 in the 2014-2015 VE).
Establishing an Account – In the 2013-2014 version of Volunteer Essentials, you can find information on establishing a bank account both in Chapter 5: Managing Group Finances (pg 79) and in the Troop Volunteer Appendix, “Open a Troop Bank Account” (pg 93). This information has been streamlined into one section. There is also an edit to the requirements of turning in copies of Bank Statements. Bank Statements will now be due 3 times a year, providing a copy of every month’s statement by July 1st. The October 1st and February 1st deadlines do not require any accompanying financial paperwork be submitted, simply that the copies be turned in.
- Copies of statements for May, June, July, and August are due October 1st.
- Copies of statements for September, October, November, December are due February 1st.
- Copies of statements for January, February, March, and April are due July 1st with the Year End Activity Report.
Registering Online – with 2013-2014 being our first full year using online registration, some basic information has been added to VE 2014-2015 to assist with this newer process. You can always call the help desk as well at 505-343-1040 or email firstname.lastname@example.org.
Switching Troops – This section, previously not in VE 2013-2014, has been added to VE 2014-2015 to provide a written process for girls switching troops. This process was created to adhere to IRS law in regards to girls’ money earning abilities, and how money can be tracked. This process applies to all troop/group accounts, regardless of the number of girls, the timing of product program participation, or the frequency of attendance of a girl.
The Opportunity Fund – This section, previously not in VE 2013-2014, has been added to VE 2014-2015 as a newly established process to streamline applying to the Opportunity Fund. A full calendar of submission dates is found in this section, as well as dates for when certain Opportunity Fund requests periods are open/closed.
